This Privacy Policy explains how ChinaExpoHub (“we”, “us” or “our”) collects and uses personal data when you visit chinaexpohub.com, create an account, follow trade shows or categories, subscribe to our newsletter, or contact us.
1. Information we collect
When you create an account, we collect your first name, last name, email address, password and country. You may also choose to provide your mobile or WhatsApp number, company name, website address, reason for attending trade shows, industries of interest and information about how you found ChinaExpoHub.
We store the events, cities and industries that you choose to follow. We do not currently store trip or ticket information.
When you contact us, we store your contact details and the content of your message. When you subscribe to our newsletter, we store your email address, subscription status and records of email delivery, opens and link clicks.
We also process standard technical information such as IP addresses, browser and device information, requested pages, timestamps and security logs when necessary to operate and protect the website.
2. How we use your information
We use personal data to:
create, authenticate and manage user accounts;
provide event, city and industry follow features;
send account-related and service messages;
send newsletters to people who have subscribed;
respond to enquiries and feedback;
understand how the website is used and improve it;
prevent spam, fraud, abuse and security incidents; and
comply with legal obligations and protect our legal rights.
We process account information because it is necessary to provide the service you request. We process newsletter subscriptions and email engagement information on the basis of your consent. We process contact messages, technical logs and security information on the basis of our legitimate interests in communicating with users and operating a secure and reliable service. Where the law requires us to process information, the legal basis is compliance with a legal obligation.
We do not sell personal data.
3. Accounts and followed content
Accounts use a ChinaExpoHub email address and password login. ChinaExpoHub does not currently offer social login through Google, Apple, Facebook or other services.
Your account may contain the registration information you provided and the events, cities and industries you follow. To request account deletion, email [email protected]. We may ask you to confirm your identity before completing the request.
4. Newsletter and email tracking
Newsletter subscriptions are managed using a self-hosted Listmonk installation. Emails are delivered through SMTP2GO.
Our newsletters may use tracking technologies that record whether an email was delivered or opened and whether a link was clicked. We use this information to measure and improve our communications. You can withdraw your consent and unsubscribe at any time by using the unsubscribe link in an email or contacting us at [email protected].
Withdrawing consent does not affect processing carried out before the withdrawal.
5. Analytics and cookies
We use a self-hosted installation of Umami Analytics to understand website traffic and usage. Umami does not use cookies to identify visitors. It uses information such as the visitor’s IP address and browser information to generate an anonymous session identifier, but the full IP address is not stored in the Umami database. Analytics data may include visited pages, referrer, browser, operating system, device type, approximate location and visit time.
We do not currently use advertising cookies.
The website uses essential cookies or similar technologies where necessary for login sessions, security and remembering user choices. Google reCAPTCHA may also set the _GRECAPTCHA cookie when it is executed to assess whether an interaction is made by a person or an automated system.
You can control cookies through your browser settings. Blocking essential cookies may prevent account or form functions from working correctly.
6. Security and spam prevention
We use Cloudflare to improve website security, availability and performance. Cloudflare may process IP addresses, traffic data, system information and security events when visitors access the website.
We use Google reCAPTCHA to protect forms and account functions against spam and automated abuse. Google may process technical and interaction information required to provide its risk analysis. Google’s own privacy policy and terms apply to its processing.
7. Event registrations and external websites
ChinaExpoHub links to registration pages operated by trade-show organisers, ExpoPromoter and other third parties. Event-registration details are currently entered on the external provider’s website and are not collected by ChinaExpoHub.
The external provider is responsible for the personal data it collects. Its own privacy policy and terms apply. We recommend reviewing them before submitting your information.
ChinaExpoHub may receive a referral fee or commission when a visitor follows certain links or completes an action on an external website. This does not mean that ChinaExpoHub receives the information entered in an external registration form unless this is separately disclosed.
8. Service providers and data sharing
We use the following service providers and systems:
Hetzner or Netcup for website, database and server infrastructure in Germany or Finland;
Cloudflare for content delivery, performance and security;
self-hosted Umami for website analytics;
self-hosted Listmonk for newsletter management;
SMTP2GO for email delivery; and
Google reCAPTCHA for spam and abuse prevention.
We may also disclose personal data to professional advisers, courts, regulators or public authorities when necessary to meet legal obligations or protect our rights.
Service providers acting on our behalf may process personal data only for the services they provide and subject to applicable contractual and legal safeguards.
9. International data transfers
Our website, Umami and Listmonk databases are hosted on servers in Germany or Finland. Cloudflare, Google and SMTP2GO may process certain information outside the European Economic Area.
Where personal data is transferred outside the European Economic Area, we rely on an applicable legal transfer mechanism, such as a European Commission adequacy decision, the EU–US Data Privacy Framework for participating organisations, or the European Commission’s Standard Contractual Clauses together with additional safeguards where required.

10. How long we keep information
As a temporary retention policy, we apply the following periods unless a longer period is required by law or necessary to investigate misuse, resolve a dispute or protect legal rights:
account and follow data: while the account remains active and for up to 30 days after a verified deletion request;
contact-form messages and ordinary correspondence: up to 24 months after the last meaningful contact;
newsletter subscription and engagement information: until you unsubscribe, with detailed engagement records retained for no longer than 24 months;
a minimal unsubscribe record: for as long as reasonably necessary to respect your opt-out;
Umami analytics data: up to 24 months;
ordinary server and security logs: up to 90 days; and
backup copies: until overwritten through the normal backup cycle, normally within 90 days.
Information may be anonymised instead of deleted when it can no longer be linked to an identifiable person.
11. Your rights
Under applicable data-protection law, you may have the right to:
access the personal data we hold about you;
correct inaccurate or incomplete information;
request deletion of your information;
restrict or object to certain processing;
receive certain information in a portable format;
withdraw consent at any time where processing is based on consent; and
lodge a complaint with a data-protection supervisory authority.
To exercise your rights, email [email protected]. We will respond without undue delay and normally within one month. These rights may be subject to limitations provided by law.
12. Automated decisions
We do not use personal data to make decisions based solely on automated processing that produce legal or similarly significant effects concerning you.
13. Children
ChinaExpoHub is a business-oriented trade-show platform and is not directed to children. If you believe that a child has provided personal data to us, please contact [email protected].
14. Security
We use reasonable technical and organisational safeguards designed to protect personal data against unauthorised access, loss, alteration and disclosure. However, no online service can guarantee absolute security.
15. Changes to this policy
We may update this Privacy Policy when our services, providers or legal obligations change. The latest version will be published on this page with its updated date. We will provide additional notice where a change materially affects how we use personal data.
